Privacy Policy
1Who we are
Welcome In is operated by Welcome In ("Welcome In", "we", "us"), 2301 West Anderson Lane, Suite 1027, Austin, Texas 78757. This policy explains what we collect, why, who we share it with, and the choices you have.
We hold information in two different roles:
- For our customers (agents, brokers and their team members), we decide how your account information is used. This policy governs it directly.
- For your contacts and leads (open house visitors, website enquiries, people you email or message), we process that information on your behalf and under your instructions. You decide how you use it, and you are responsible for having the right to contact them.
2Information we collect
Account information. Name, email address, phone, brokerage, license details you choose to add, business address, time zone, and the members you invite to your account.
Billing information. Payments are handled by Stripe. We never receive or store your full card number. We keep your Stripe customer reference, your plan, its billing interval, subscription status, trial dates, and invoice amounts and status.
Connected accounts. When you connect Gmail, Outlook, Google Calendar or a social account, you authorize it on that provider's own consent screen. Depending on what you connect, we receive and store:
- emails you send and receive in connected mailboxes, including attachment details;
- calendar events;
- comments, direct messages and reactions on connected social accounts, along with post engagement figures.
Access tokens for these accounts are held by our integration providers, not in the Welcome In database.
Content you create. Listings, photos and video, posts and captions, templates, website pages and settings, automations, notes and messages.
Contacts and leads. Information you import or that people submit through your website or open house sign-in page, such as name, email, phone, and whether they are working with an agent.
Consent records. When a visitor agrees to receive email or text messages at an open house, we record each channel separately, along with the exact wording they were shown and evidence of the submission (time, page and technical details). Requests to stop are recorded too, and they are kept even if the person signs in again later.
Usage and device information. Pages and features used, approximate location from IP address, browser and device type, and error logs. We use product analytics to understand how the app is used.
3How we use information
- To provide the service, which includes:
- publishing your website and social posts;
- sending the email you write or schedule;
- filing replies in your inbox;
- running the automations you set up, such as automatic replies to comments that match your keywords.
- To bill you, prevent fraud, and keep accounts secure.
- To offer AI-assisted features you choose to use, such as writing help, image editing and website design. The content needed for each request is sent to an AI provider to produce the result.
- To support you, fix problems, and improve the product.
- To send you account and billing notices. Product news is sent only where permitted, and you can unsubscribe at any time.
- To meet legal obligations and enforce our Terms.
What we do not do.
- We do not sell personal information.
- We do not use your contacts or leads to market our own products.
- We do not share your leads with other agents.
- We do not use your private content to train AI models.
4Email and text consent
Open house visitors choose separately whether they may be contacted by email and by text. Our system will not send marketing email to a lead who has not granted email consent or who has asked to stop. A visitor can withdraw at any time in any of these ways:
- using the unsubscribe link in an email;
- replying STOP to a text;
- asking the agent, who records the stop in Welcome In.
Signing in again at a later open house never undoes an earlier stop.
5Who we share information with
We share information only with service providers who help us run Welcome In, under contracts that limit their use of it. We also share it when you direct us to, for example by publishing a post to a social network, and when the law requires.
| Provider | What they do for us |
|---|---|
| Stripe | Payment processing, subscriptions, invoices and the billing portal |
| Supabase | Database, authentication, file storage and server functions |
| Railway | Application and website hosting |
| Bunny.net | Image and content delivery for published websites |
| Composio | Connecting Gmail, Outlook and Google Calendar, and sending and receiving email through them |
| Zernio | Connecting social accounts, publishing posts, and receiving comments and messages |
| Resend | Sending email campaigns and account notices |
| AI providers: OpenAI, Anthropic, DeepSeek and TypeSafe AI (Jev) | Generating text, images and design suggestions you request, and helping the app decide what to do next |
| Geocodio | Turning listing addresses into map locations |
| PostHog | Product analytics and error insight |
| OpenSRS (Tucows) | Registering the domain included with your plan |
Where information is processed. Most of our providers process information in the United States. Some AI features currently use DeepSeek, whose servers are in China, so the content you send to those features may be processed there. We plan to move those features to US-based servers.
If Welcome In is involved in a merger, acquisition or sale of assets, information may transfer as part of that transaction, and this policy will continue to apply to it.
6Visitors to agent websites and open house pages
Agent websites and open house sign-in pages are published by the agent through Welcome In. What a visitor submits goes to that agent, who is responsible for how they use it. Agents may add their own analytics to their sites, and those agents are responsible for any notice or consent banner that requires. To ask about your information, contact the agent, or contact us and we will pass your request on.
7How long we keep it
We keep account information while your account is open. When you cancel, your plan stays active until the end of the period you paid for, and you can export your data or undo the cancellation until then. When that period ends, we delete your account data. If your account is closed because a payment could not be collected, we wait 30 days from the first failed payment before closing it and deleting the data. If a free trial ends without becoming a paid subscription, we keep the account data for 30 days after the trial ends, so you can still subscribe and pick up where you left off, and then delete it. A few records are kept after deletion, where the law requires it or where they protect people:
- invoices and tax records;
- consent and stop records, which show that a person agreed, or asked us to stop.
8Security
We use encryption in transit, access controls that keep each customer's data separate from every other customer's, and a short list of trusted providers. No system is perfectly secure. If a breach affects your information, we will notify you as the law requires.
9Your choices and rights
You can view and update most of your information in the app.
Depending on where you live, including California, you may have the right to:
- know what we hold about you;
- get a copy of it;
- have it corrected or deleted;
- opt out of certain uses.
We will not discriminate against you for using these rights. To make a request, email support@welcomein.io. We will verify your identity before acting on a request. If the request is about a lead or contact record, we may refer it to the agent who holds it.
10Children
Welcome In is a business tool for adults. It is not directed to children under 16, and we do not knowingly collect their information.
11Changes
We may update this policy. If a change is material, we will tell you by email or in the app before it takes effect.
